1. Who we are

Hirotronix Sensors & Solutions Inc. (“Hirotronix”, “we”, “us”) is a Canadian distributor of machine safety, sensor and automation products, located at 687 Sir Richard’s Road, Mississauga, Ontario L5C 1A3. We are responsible for the personal information we collect through this website and in the course of our business, and we handle it in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and other privacy laws that apply, including Quebec’s privacy law where it applies.

Our customers are mainly businesses. The personal information we handle is usually business contact information, such as your name, job title, company, work email and phone number.

2. Information we collect

Information you give us

  • Quote requests: your name, company, email address, phone number, the products and quantities you are interested in, and any message or attachment you send.
  • Contact forms, email and phone: the details you provide and the content of your enquiry.
  • Live chat: the messages you send through the chat window, and any name or email address you choose to give.
  • Orders and accounts: billing and shipping contacts and addresses, and order history, when you buy from us.

Information collected automatically

  • Technical data: your IP address, browser type, device and the pages you request, recorded in our server logs for security and to run the website.
  • Analytics: only if you choose “Accept analytics” in the cookie banner, Google Analytics and Microsoft Clarity record how you use the website, such as pages viewed, clicks and scrolling. See our Cookie Policy.

We do not ask for, and ask you not to send, sensitive personal information such as health or financial account details.

3. How we use it

  • to answer your questions and prepare quotations;
  • to process, ship and invoice orders, and to provide technical support, warranty and return handling;
  • to keep business records as required by law, including tax and accounting records;
  • to protect the website and our systems against fraud and misuse;
  • to understand how the website is used and improve it, where you have accepted analytics cookies;
  • to send product or company news by email, only where you have agreed to receive it. You can unsubscribe at any time.

We do not sell or rent personal information.

4. Consent

By sending us a quote request, an enquiry or a chat message, you agree to us using your information to respond and to carry out the purposes above. Analytics cookies are used only with your consent through the cookie banner. You can withdraw consent at any time, subject to legal or contractual restrictions, by contacting us or by using the “Cookie settings” link at the bottom of every page. Withdrawing consent may mean we cannot complete a quote or order.

5. Who we share it with

We share personal information only where needed for the purposes above, with:

  • Manufacturers we represent, where needed to confirm availability, pricing, technical details, warranty or returns for your request;
  • Service providers who help us run our business, such as website hosting (Bluehost), email, live chat (tawk.to), analytics (Google, Microsoft), shipping carriers and our accountants. They may use the information only to provide their services to us;
  • Authorities, where required by law, or to protect our rights, property or safety;
  • A buyer or successor, if our business or part of it is sold or reorganized, under confidentiality obligations.

6. Storage outside Canada

Some of our service providers and the manufacturers we work with store or process information outside Canada, including in the United States and the European Union. When information is outside Canada it is subject to the laws of that country and may be accessed by its authorities. We choose providers that protect information to a standard comparable to ours.

7. How long we keep it

We keep personal information only as long as needed for the purpose it was collected for, or as required by law. As a guide, quote enquiries that do not lead to an order are kept for up to three years, and order and invoice records are kept for at least seven years to meet Canadian tax requirements. When information is no longer needed, we delete it or make it anonymous.

8. How we protect it

We use reasonable physical, organizational and technical safeguards, such as encrypted connections (HTTPS), access limited to staff who need it, and password-protected systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm, we will notify the people affected and the Privacy Commissioner as required by law.

9. Your rights

You can ask us to:

  • tell you what personal information we hold about you and how it has been used and shared;
  • correct information that is inaccurate or incomplete;
  • stop using your information for a purpose you previously agreed to, such as marketing emails;
  • delete information we no longer need to keep.

Send your request to our Privacy Officer (section 12). We will respond within 30 days and may need to confirm your identity first. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada, or, in Quebec, the Commission d’accès à l’information.

10. Children

This website is intended for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16.

11. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
